Hold a Training Session in WebEx From iCollege

Schedule a Training Session from iCollege

  1. To schedule an event, click on the Schedule more events button on the right hand side.
  2. In the new window:
    1. Enter the name of your event.
    2. If you want to create a one-time event, click Single Event. Click Daily if you want this event to repeat every day, or Weekly to repeat it every week.
    3. Choose America/Atikokan Time Zone or any other -5:00 Time Zone from the list.
    4. Enter the date and time of your event.
    5. Enter the duration of your event.
    6. Choose who will host this event.
    7. Choose WebEx Training Center.
    8. When finished, click Schedule.
  3. To open the event in WebEx application, click Host

Create Breakout Sessions

  1. In the Training Session window:
    1. Click Breakout.
    2. In the drop-down menu click Breakout Session Assignment…
  2. You can create sessions Manually or Automatically.
    1. Create Breakout Sessions Manually:
      1. Click Add Session.
      2. Type the Name of the Session and press Enter.
      3. Repeat Steps 1 and 2 to create as many breakout sessions as you want.
      4. To delete a breakout session:
        1. Click on the session you wish to delete.
        2. Click Delete Session.
        3. A conformation window will pop up. Click Yes.
      5. To move attendees to the session:
        1. Select one or more unassigned attendees from the panel on the right.
        2. Select the session where you want to move them to.
        3. Click the Right Arrow Icon.
          First attendee you add to the session is automatically assigned as Presenter. To give this role to another attendee assigned in the session, click the Ball Icon next to this person’s name.

      6. When you are finished, click OK.
    2. Create Breakout Sessions Automatically:
      1. Click the Circle Icon next to “Automatically” option.
      2. You can set the number of breakout sessions or the number of attendees per session.If you set the number of breakout sessions, attendees will be assigned to the sessions randomly. If you set the number of attendees per session, attendees will be assigned to the session as they join, and a new breakout session will be created automatically when the maximum number is reached.
      3. When you are finished, click OK.

    3. Switch Between the Sessions

      1. To begin the sessions, click Start on the Breakout Session panel.
      2. To join a session, click Breakout, click Join Breakout Session, and choose the session you want to join.
      3. To leave the session, click Leave Breakout Session

      End the Training Session

      1. To end breakout sessions, click Breakout and choose one of the following options in the drop-down-menu:
        1. Click End Breakout Sessions to prompt all participants to end their sessions.
        2. Click Ask All to Return to request all participants to return to the main session. In this case, attendees can choose whether they want to leave their breakout session or stay in it.
      2. To end the training session, click End Training Session in the right-bottom corner of the window.
