Using WebEx in iCollege

This document explains how to create a WebEx event on iCollege and record it in WebEx application.

Launch WebEx From iCollege

  1. In your course’s page:
    1. Click Communications.
    2. In the drop-down menu click WebEx.

  2. When you launch WebEx for the first time, you will see the following window. After the Green Check icons appear, return to the course page and repeat Step 1.

Schedule an Event on WebEx

  1. To schedule an event, click on the Schedule more events button on the right hand side.

  2. In the new window:
    1. Enter the name of your event.
    2. If you want to create a one-time event, click Single Event. Click Daily if you want this event to repeat every day, or Weekly to repeat it every week.

    3. Choose America/Atikokan Time Zone or any other -5:00 Time Zone from the list.
    4. Enter the date and time of your event.
    5. Enter the duration of your event.

    6. Choose who will host this event.
    7. Choose whether you want to create a meeting at the WebEx Meeting Center or at the WebEx Training Center.
      Training events allow you to create breakout rooms and do testing and polling. Meetings are designed for webinar type sessions. A detailed comparison of these two can be found here.
    8. When finished, click Schedule.

  3. To open the event in WebEx application, click Host

Quick Launch New Event on WebEx

  1. To launch an event immediately, click on the Quick launch new event button on the right hand side.

  2. In the new window:
    1. Enter the name of your event
    2. Choose whether you want to create a meeting at the WebEx Meeting Center or at the WebEx Training Center.
      Training events allow you to create breakout rooms and do testing and polling. Meetings are designed for webinar type sessions. A detailed comparison of these two can be found here.
    3. Choose the duration of your event.

  3. Click Launch.

  4. Record Your Event

    1. After launching the event, click Record.

    2. To stop recording, click the Stop icon.

    3. Click Stop Recording.

    4. When your recording is ready to view, WebEx will notify you by email. This process may take some time. If you want to view your recording immediately, return to the WebEx page on iCollege and click Event Recordings.

    5. Click the Recheck next to the event recording you want to view.

    6. If WebEx detects a recording, the following window will appear:
      1. Click the top link to download the recording.

      2. Click the bottom link to view the recording in your browser.

    Check Event Attendance

    1. Open WebEx page on iCollege and click Event Attendance

    2. Click View Records, and a window with the list of your attendees and some information about their attendance will appear.
